When you are going to conference and event planning, one of the most important things you need to consider is getting a suitable venue. After all, it is where the conference will be held, right?
There are plenty of options out there, but you have to make sure to pick a place that is appropriate for the type of conference you’re going to have.
For instance, if your audience is mainly in the real estate business, you would pick a place with more traditional building design and elements since most of them prefer a place that way.
However, the same cannot be true for people in the technology industry since they want a more futuristic approach. Whatever the needs may be, there is always going to be a venue to hold your conference.
Today, I am going to talk about some important considerations you need to think about when looking for a place for your conference.
1. General Accessibility
The first consideration will be how accessible this place is. You want a venue that is in,the middle of the city so that people can just go there with relative ease.
If you’re going to have guests from all around the world, chances are that they will want hotel accommodations.
To help cater them, you want a place where there are plenty of hotels that they can go to. Think of a place where you can go to by just taking a 10-15-minute ride.
2. Facilities and Amenities
The venue should also sport some facilities and great amenities as well. For facilities,
you want a place where there is possible AV equipment already installed. If not, you
want something that is spacious enough to accommodate your own equipment.
For amenities, make sure that there is a shower room that is complete with all the
accessories people would want to use such as a hot/cold faucet or shower, towels,
among other things. A pool, sauna, or a bathtub is not that necessary, but it is a good
3. Food and Drinks
Believe it or not, it is in the hands of the event planner to think about feeding the guests.There are some conference venues that offer food packages that you can choose from.
However, there are also some places where they do not offer any meal plans. If the latter is the case, ask the venue manager if you could have a catering service deliver the food instead and also ask if they provide additional services when you get the place for your conference.
It all boils down to your actual budget. Your set budget will allow you to know which place you’re going to choose in the end.
To answer the question of which venue you should choose, you have to look at your assets and how much you’re willing to spend, the number of guests who are invited, the food and drinks, and possible VIP accommodations. Make sure to factor all these things in as it will ultimately affect the final venue you’re going to choose.
